Effective outreach requires more than just sending tons of emails – it demands precision, personalization, sometimes tracking, and definitely smart research. For cold outreach, link building, or networking, the right outreach tools can save hours and dramatically improve your results.

Here is my list of top 10 outreach tools both recognized and under-the-radar

These apps took my outreach to the next level and significantly improved my results.

Google Spreadsheet

Best for: Organizing outreach, tracking responses
Often overlooked, Google Sheets is a lightweight CRM and campaign hub. You can log websites, contact details, status updates, follow-up dates, and even integrate with other tools using API scripts.

For example, my main spreadsheet includes several tabs that I use almost every day:

  1. General Base – This is my primary list of websites that I’ve already worked through, meaning I’ve reviewed them and sent collaboration requests. Every day, I use Apps Scripts to sort new sites, evaluate them, and add the qualified ones to the General Base. This helps me focus solely on fresh opportunities moving forward.
  2. Potential – This tab contains websites where I’ve made initial contact with the owners, but I’m not ready to place my article there yet because their metrics don’t seem strong enough. About once a quarter, I revisit this list to recheck their stats. If any of them show improvement, I update the pricing info and go ahead with the article placement.
  3. Blacklist/Not Relevant – This one’s self-explanatory. I use it to keep track of websites that are a poor fit for my needs or are outright fraudulent.
  4. In Progress – Here, I keep track of the sites I’m currently working with. I log the website, contact email, agreed price, the category or section where the article will be published, the target page on my site, anchor text, and a link to the article draft.
  5. Success – This tab includes links to all successfully published articles, along with the contact email, price, anchor text, and indexing status of each piece.

Google Apps Scripts – Automation on Steroids

Best for: Automating manual outreach tasks
If you’re using Google Sheets, Apps Scripts let you automate actions like sending templated follow-up emails, checking link status, or scraping site metadata. Personally I use Apps Scripts to find and remove duplicate rows (websites) in my general list of websites.

Best for: Saving insights and context for outreach prospects
This plugin lets you stick notes directly on web pages. Perfect for jotting down reminders (e.g., “check back for guest post form” or “responded with interest”). And the next time I open the website’s homepage (I only leave my notes on the main page), the note pops up automatically, so I immediately know what to do with that site.

With SEMrush, you can spy on where competitors get their traffic and backlinks, then replicate the strategy. Great for content-based outreach or guest post pitches. I like to use a free version to check top websites traffic keys in Top Organic Keywords section. It’s enough to understand whether the website has real organic traffic and to expand my target keywords list.

Ahrefs (Free & Paid) – Link Prospecting and Content Explorer

Best for: Discovering high-authority backlink targets
Even the free backlink checker is powerful for spotting referring domains. The paid version unlocks content explorer, broken link analysis, and deep competitor research. Personally I use Ahrefs for backlink gap analysis, content explorer for recent content changes, finding organic competitors and of course to determine whether the website is a good for my backlink strategy.
